This Privacy Policy explains how Quantum AI Limited handles information processed through OrderOS.
Information we process
- account details such as business name, user name, email address, and account settings
- customer contact information and order-related details submitted through the service
- orders, line items, delivery details, payment evidence, receipts, uploaded files, and related records
- support messages, activity records, and security logs needed to secure and operate the service
Why we process it
- to authenticate users and load the correct workspace
- to receive, organize, and present records inside the product
- to process orders, receipts, payment records, and related account activity
- to troubleshoot product issues, prevent abuse, and respond to support requests
Customer data managed by account holders
Account holders are responsible for the customer information they choose to manage in OrderOS. We provide the software layer for those workflows and expect users to use only data they are authorized to manage.
Service providers and infrastructure
We use third-party infrastructure and software providers for hosting, authentication, database storage, file handling, and operational tooling. These providers receive only the information needed to perform their function for the platform.
International transfers
Depending on the providers involved in delivering the service, information may be processed or stored in jurisdictions outside your home country. Where that occurs, we use providers and operational safeguards intended to protect the information in a manner appropriate for the service.
Security safeguards
We use reasonable technical and organizational safeguards for the platform, including encryption in transit, encrypted or access-restricted storage environments, authenticated access controls, logging, and operational monitoring intended to help protect service integrity.
AI-assisted processing
OrderOS may use AI-assisted processing to help extract structured information from merchant conversations, uploaded records, or related workflow inputs. These features assist with organization and review, but account holders remain responsible for reviewing and confirming important details before they become final orders, payment records, or customer-facing actions.
Retention and deletion
We retain information for as long as needed to operate accounts, maintain security, resolve disputes, and satisfy legal or fraud-prevention obligations. When a signed-in user completes self-service deletion, or an approved human-reviewed deletion request is completed, we delete or anonymize eligible data in line with those obligations.
